Privacy Policy & Data Protection Disclosure — CargoSheet AI
CargoSheet AI is a Chrome browser extension that converts user-selected logistics and customs documents (Packing Lists, Commercial Invoices, and Bills of Lading) into reconciled tables for Google Sheets, CargoWise One, Descartes ACE, Amazon FBA, and Excel. This Privacy Policy clearly explains what information we handle, how we process it, our zero-retention security architecture, external service providers, and compliance with the Chrome Web Store User Data Policy.
Quick Summary (Prominent Disclosure)
- User-Selected Files Only: We only process PDF or image documents that you explicitly select or drop into the CargoSheet AI side panel.
- Single Purpose Only: Used strictly to extract shipping line items, verify customs math (cartons, weights, totals), and validate your license.
- Zero Server Retention: Uploaded documents are processed in volatile memory (RAM) only and discarded immediately after extraction. Never used for AI training or sold to third parties.
1. Information We Collect & Process
CargoSheet AI processes only the minimum information required to perform the document conversion you explicitly request:
- User-Submitted Logistics Documents: PDF or image files (Packing Lists, Commercial Invoices, Bills of Lading, Arrival Notices) that you actively select or drag-and-drop into the CargoSheet AI side panel for table extraction and customs auditing.
- License & Quota Verification Info: Your Pro license key (if activated), temporary connection information held in volatile memory solely to verify the free monthly tier (5 free shipment scans per month), and local browser preferences (selected UI language, export format preference, and optional local scan history stored inside your browser).
- Information We Never Collect: We never access, read, or collect your web browsing history, freight portal login credentials, ERP passwords, cookies, or content from any other browser tabs.
2. How We Use Information (Purpose of Processing)
All processed data is used strictly to provide the core user-facing features you initiate:
- Core Functionality Only: Performing structured line-item table extraction, 4-way customs reconciliation (Item Count, Total Quantity, Net/Gross Weight, Carton Count, and Declared Invoice Value), formatting data for export (CargoWise One, Descartes ACE, Amazon FBA, Excel, CSV, or Google Sheets), and verifying your subscription quota.
- Strict Prohibition on Secondary Use: We never use your documents or extracted trade data for targeted advertising, market intelligence, profiling, data brokering, or training artificial intelligence (AI) or machine learning models.
3. Data Storage, Zero Server Retention & User Control
We enforce a strict Zero Server Data Retention policy for all uploaded shipping and customs documents:
- In-Memory Processing & Immediate Deletion: Uploaded document files and extracted shipping tables are transmitted over encrypted HTTPS connections, processed exclusively in volatile memory (RAM), never saved to any server disk or database, and permanently discarded the instant the extraction response is returned to your browser.
- Local Browser Storage & Deletion Control: Your extension preferences and optional recent extraction history remain exclusively inside your local browser storage on your own computer. You can permanently clear this local data at any time by clicking Clear History inside the extension or by uninstalling the extension.
4. External Service Providers & Third-Party Disclosure
We do not sell, rent, trade, or transfer user data to any third parties or data brokers. To execute your requested extraction and license checks, data is securely transmitted over TLS/HTTPS to the following trusted infrastructure providers:
- Cloudflare (Cloud Network & Serverless Computing): Provides encrypted network routing and ephemeral in-memory request handling without storing uploaded files.
- Google AI Document Analysis Service (Enterprise Paid Tier): Processes uploaded document images/PDFs in real time to extract structured line-item tables. Under enterprise paid-service data protection terms, submitted content is never used to train AI models and is not retained after processing.
- Lemon Squeezy (Merchant of Record & Billing Service): Handles Pro subscription checkout and verifies whether an entered Pro license key is active and valid.
